delivery locker service located at train stations whether ordering from local national or pan european businesses customers would have a convenient way to collect their orders on the way home from work it was clear to us at bitcrowd that box would require a robust and flexible scheduling system so it could handle all the complicated edge cases of the real world we d also need to guide both businesses and customers through the process when they used the service for the first time this presented a fantastic challenge for both our backend and ux design teams left default the story we were The product
Each day, millions of travellers use Germany’s rail system – many commuting to work in the morning and then home again in the evening, all while passing through the same train station. For Deutsche Bahn, this presented a range of opportunities. What extra value could stations provide to commuters beyond departure and arrival? And would it be possible to increase their customer base by bringing in local businesses?
Several projects were conceived, which DB ran through an incubator-like process: after an internal round of pitches, selected projects were then given small initial budgets to conduct feasibility studies. One of these proposals was Box, a pick-up and drop-off delivery locker service located at train stations. Whether ordering from local, national, or pan-European businesses, customers would have a convenient way to collect their orders on the way home from work.
It was clear to us at bitcrowd that Box would require a robust and flexible scheduling system so it could handle all the complicated edge cases of the real world. We’d also need to guide both businesses and customers through the process when they used the service for the first time. This presented a fantastic challenge for both our backend and UX & design teams.
 
We were approached by the team at Box, who had clear specifications for the project. With strict legal requirements and liability expectations, we had to work within certain constraints in order to create a compelling product. 
Defining the product
We worked with Deutsche Bahn to specify and refine functionality. The DB legal team has strict limits on how personal data can be collected and stored, and the product needed to be designed in a way that would respect customer privacy while avoiding legal issues. As this was a service operating in the real world, we also needed to consider physical limitations and liabilities.
The bitcrowd backend team worked extensively with Box product owners and advisors to design a system that met their requirements while also being robust, secure, and easily maintainable. This was done across several iterations: a continual process of proposing, counter-proposing, and refining. We discussed what was required to ensure the correct state of the delivery lockers for each stage of the booking process, while still giving customers a product that was clear and straightforward to use.
This was a unique challenge. It is impossible to know how many lockers – and of which size – will be available when booking a delivery. This meant we needed to design a system with a flexible, adjustable algorithm that came with release valves to handle all those tricky edge cases. 
Designing user flows
During bitcrowd’s extensive workshopping sessions, we sketched and wireframed every step of the process for businesses, end users, and DB admin. We took great care when introducing retailers to the product’s functionality, looking for unexpected complications brought about by real-world use.
The process included proposals for future improvements to the booking system. Though there wasn’t time to build a perfected product on the first attempt, we wanted to explore all the possibilities that could benefit later versions.
Sometimes client requirements change – it happens! Adaptability is an important asset for developers, and here we needed to pivot late into the design process. We updated userflows to meet these new needs, while holding onto the originals for later use. Hopefully continued development of the project would bring us a chance to reinstate features that we had to remove.
Our backend team built the systems necessary for such a security-critical undertaking, while our frontend team worked to the plans of our UX & visual designers.

DB needed the product to reach a whole new range of businesses, as well as end customers who may never have used one of the proprietary delivery lockers before. We had to ensure that both clients and customers could enjoy an understandable, convenient system that effortlessly fit into their lives.

The product
Research from Charité radiologists was used to train an ML model, aiming to aid clinicians in their diagnosis of various eye conditions. Freed from the manual research of printed text books or searching case history databases, clinicians can now upload MRI scans to the application. They then receive potential diagnoses, along with case history and fully-navigable scans – increasing vital speed and accuracy. 
Based on the initial pitch from the Radioeye research team alongside their prototype click dummy, the Charité’s BIH incubator green-lit the project. Radioeye then looked to us to turn this into a real web application. 
First steps
Our design team quickly understood the project’s vision thanks to Radioeye’s prototype click dummy. Working with their radiographers, we reimagined the app’s userflow and user interface by introducing key concepts to better fit the product to the needs of clinicians. Core functionality was improved with the addition of extra screens and UI states. 
We also undertook several rounds of workshops to refine the process for uploading images, taking care to account for real-world clinicians using the app themselves – while integrating the radiologists’ PACS system (which they use to navigate MRI imaging). 
Refinements
While bitcrowd was working with the radiologists to create the first userflows and wireframes, we introduced the concept of “case triage” to help clinicians use the cases presented to them by the ML algorithm. This meant clinicians could use a “pinned case” list for easy access to  relevant cases – showing suspected matches which could include several different conditions as a differential diagnosis, improving the accuracy, speed, and completeness of the assessment.
Taking on the user’s perspective, we also identified potential friction and points of confusion for clinicians when using the app so we could add extra guidance where needed. 
Prototypes
At this early design stage, we’ll use a click dummy prototype to bring the app to life. Using wireframes, we link each screen to the next with the simple click of a button. Being able to click from screen to screen gives a feel for how the app will work, letting us spot any potential problems.
Very low-fidelity wireframes were used to build the first prototype, which we then updated with increasingly high-fidelity screens as we refined them. Using prototypes to guide our changes during these design iterations allowed us to improve the position and grouping of several UI elements. This made Radioeye’s interface especially clear and straightforward. 
Visual design
While we were working on increasingly high-fidelity designs, we refined the layout to Radioeye’s particular needs. Here the UI needed to be both minimal and highly functional, with a “dark mode” schema to match standard MRI image viewing software.
Of course functionality is key, but it’s also important that the UI looks good! We created variations of their official colours that fit the dark mode design in order to give it a recognisable yet subtle branding. The icon set was carefully chosen for both clarity and character – creating an interface that works well and looks the part. 
Frontend web app
Using the visual designs, userflows, and prototypes, our frontend team went to work on creating a highly-responsive React web application. The component library was organised using Storybook, allowing us to build, test, QA, and refine the UI while simultaneously working on app functionality.
The Radioeye app operates on a range of devices: from the radiology lab's multi-monitor desktop PCs to less powerful laptops and tablets. 
Backend functionality
The web app still needed to be tied to the machine learning technology, so it was designed to make requests to an Elixir API custom-built by bitcrowd’s backend team. The images the web app sends to the API running on the server are passed on to the ML algorithm, with the resulting cases pulled from the database. The relevant cases are then sent to the app and displayed to the clinician. 
Iteration
Radioeye V1 was trialled in hospitals across Berlin. BIH then approached bitcrowd for a second iteration. V2 was conceived with the help of user feedback, offering significant improvements to the UI and overall navigation. A hierarchical list of cases was also added, grouped according to regions of the eye – allowing doctors to leverage the ML results with their own expertise.
V2’s new onboarding flow helped guide new users when using the application, and we improved the transitions between the PACS system and Radioeye. As the screen sizes commonly used by radiologists are squarer in format, we designed a landscape version of the product to enhance the user experience.

Deutsche Bahn Station&Service AG has a large number of properties around their train stations across Germany. They now offer them as flexible office space and meeting rooms, so now the millions of daily travellers can benefit from a country-wide network of flexible workspaces and meeting rooms, and DB makes better use of their train station properties.
The core of the everyworks application is an invoicing and payments system, paired with customer management, a calendaring & booking system, admin user management, and an HTML email notification service. This allows everyworks admins to manage the available spaces, meeting rooms, and desks, schedule bookings and cleaning services, and to manage both customer accounts and their own staff’s access to the system. 
We built the backend of the service in Elixir, taking advantage of the functional programming language’s reliability and precision to create a solid and robust application.  
The application was built with the traditional controller approach, but the more interactive parts of the UI were built using the then-new Phoenix LiveView. This technology allows us to write functionality on the server-side and have the UI update to reflect data changes in a highly-responsive way. It also brings a well-designed and full-featured component system to a backend language, meaning we can create an organised system of rich, encapsulated, and maintainable components. 
Our backend team designed and built the GraphQL API that’s consumed by the everyworks mobile application. Through this, everyworks customers can make bookings and manage their accounts on their phones. Convenient and fast access to the reserved spaces is handled though an invite system, with QR codes generated and sent to each customer and their guests, that are scanned on arrival.
The application is deployed on AWS using Kubernetes, giving us a dependable application environment, lightening fast response times, and industry-leading uptime. 
Customers interact with the service through the mobile app, and through HTML emails. These HTML emails contain their QR codes for each booking, are a always-reliable backup to the mobile app just in case, and provide a simple way for a customer’s guests to access the service without having an account. The emails are everyworks-branded, responsive, and tested on a range of 40+ email clients and platforms. They need to always work and look good, whichever device or email app the customer is using. 
The service started simple. Over the years, we’ve built an expanding offering of services as everyworks grows to accommodate more of their customers’ needs. 
The product started by offering desk spaces available on a per-minute pay-as-you-go basis. Among other new features, we’ve added flat-price meeting rooms with multiple invited attendees, flexible prepaid minute-wallets, day passes, vouchers, and discount campaigns.
These new features have helped everyworks fit more conveniently into their customers’ lives, and attracted new customers from other market segments. 
At the beginning, everyworks was a standalone product for Deutsche Bahn and for us. In the last four years, we’ve built a range of services for DB Station&Service AG, all under the “Digital Marketplace” (DiMa) umbrella. You can read about several of those projects elsewhere in the projects section of the website.
Moving everyworks into the same codebase as all the other DiMa services increasingly made sense, though it was clear it would be no small task. The move took quite some developer time, and has paid off, with reduced maintenance, increased reliability, and improved UI as the everyworks admin screens got upgraded with all the features that we’d developed in the time we’d been building those other products. Since the switch, adding new features has been more straightforward and well-integrated.
